ClearVisit EVV Privacy Policy

ClearVisit EVV ("ClearVisit," "we," "us," or "our") provides Electronic Visit Verification (EVV) software used by home health care agencies to document and verify caregiver visits, as required by Ohio Medicaid. This Privacy Policy explains what information we collect, how we use it, and how it is protected.

Who Uses ClearVisit

ClearVisit is used by home health care agencies, their caregivers, and administrative staff. It is not intended for use by the general public, and is not directed at children.

Information We Collect

Depending on your role, ClearVisit may collect:

• Location data: GPS coordinates captured when a caregiver clocks in and out of a client visit, used to verify the visit occurred at the client's address, as required by Ohio's EVV mandate.
• Account information: Name, email address, and phone number for caregivers and administrative users.
• Visit and care documentation: Clock-in/out times, care plan tasks completed, visit notes, and digital signatures collected during a visit.
• Photos and documents: If a caregiver or administrator chooses to upload a document or photo (such as a certification or identification document), we access the device's camera or photo library only for that purpose.
• Employment records: For caregivers, information such as hire date, certifications, and documents required by the employing agency.
• Client care information: Information about the individuals receiving care (name, address, authorized services, and care plan details), entered and managed by the employing agency.
• Push notification tokens: If enabled, a device identifier used to deliver notifications such as schedule reminders or alerts, no notification content itself is stored beyond what's needed to deliver it.

How We Use Information

Information collected through ClearVisit is used to:

• Verify caregiver visits as required by Ohio Medicaid's Electronic Visit Verification mandate
• Submit required visit data to Ohio's designated EVV aggregator (Sandata) on behalf of the employing agency
• Support agency scheduling, payroll, and compliance recordkeeping
• Allow agency administrators to manage caregivers, clients, and visit documentation
• Send push notifications and other operational communications, such as schedule reminders or compliance alerts

How Information Is Shared

We do not sell personal information, and we do not use data collected through ClearVisit for advertising. Information is shared only:

• With the employing home health agency, who is the primary owner and controller of the data
• With Ohio Medicaid's designated EVV aggregator (Sandata), as required by state law
• With the service providers we use to operate the platform, solely to provide the service, including: Supabase (database hosting and authentication), Resend (transactional email delivery), Twilio (telephony-based visit verification), and Vercel (web hosting)
• When required by law or to comply with a legal obligation

Health Information and HIPAA

ClearVisit's contractual relationship is with the home health agency that licenses our software, not directly with individual caregivers or clients. Agencies are responsible for compliance with applicable health information privacy laws, including HIPAA, in their own use of the platform. ClearVisit implements administrative, technical, and physical safeguards designed to protect the confidentiality of care-related information stored in the platform.

Data Retention

Visit and care documentation records are retained for a minimum of 7 years, in accordance with Ohio Medicaid recordkeeping requirements. Records are not deleted solely at a user's request where retention is legally required.

Data Security

We use industry-standard security measures, including encrypted data transmission (HTTPS), to protect information collected through ClearVisit. Access to client and caregiver data is restricted to authorized users of the employing agency.

Your Choices

Caregivers using the ClearVisit mobile app must allow location access in order to clock in and out, as this is required for EVV compliance. Location is only collected during active use for clock-in/out and scheduled visit tracking, not continuously in the background outside of these purposes. Camera/photo access, push notifications, and biometric login are each optional and can be enabled or disabled through your device settings.

Our Website

Our website (clearvisitevv.com) does not use advertising or third-party tracking cookies. We may use basic, privacy-respecting analytics to understand overall site usage.

Children's Privacy

ClearVisit is a professional workplace tool and is not directed at or intended for use by children.
